Cape Coast Villas – Refund & Cancellation Policy

At Cape Coast Villas, we understand that travel plans can change unexpectedly. Our goal is to provide a transparent, fair, and guest-friendly refund process while respecting the individual policies set by our hosts. Because each villa is independently managed, all cancellation and refund conditions are determined by the property host, and may vary from one listing to another.

We strongly recommend reviewing the specific cancellation policy displayed on the villa’s listing before completing your booking.

1. General Cancellation Policy

Cancellations made by the guest are subject to the host’s policy. Depending on the specific villa you book, refund options may include:

  • Free cancellation within a specified period (e.g., 24–72 hours after booking, depending on host)

  • 100% refund if cancellation is made within the host’s full-refund window

  • 50% partial refund if cancellation is made within the host’s reduced refund timeframe

  • 0% refund for late cancellations, last-minute cancellations, or no-shows

Any cancellation made after the host’s final refund deadline is strictly non-refundable.

Refund eligibility may also vary based on:

  • Peak season or holiday periods

  • Long-stay reservations

  • Special promotions or discounted rates

2. Non-Refundable Bookings

Some villas may offer:

  • Promotional rates

  • Early-bird discounts

  • Last-minute deals

  • Long-stay discount packages

These bookings may be marked as non-refundable, regardless of cancellation reason. By confirming such a booking, the guest agrees to the strict non-refund terms.

3. Modifications & Changes to Bookings

Requests to modify an existing reservation—including changes to dates, number of guests, or villa upgrades—are subject to:

  • Host approval

  • Availability

  • Potential additional charges

  • Compliance with the host’s modification timeframe

If the modification results in a higher booking value, the guest is responsible for the difference.
If the modification reduces the booking value, the refund amount—if any—depends on the host’s policy.

4. Early Departures

Guests who choose to check out earlier than originally booked are not eligible for refunds for unused nights unless explicitly negotiated with the host.

5. Cancellation Due to External Factors

Cape Coast Villas is not responsible for cancellations due to:

  • Weather conditions

  • Flight delays or cancellations

  • Visa issues

  • Travel restrictions

  • Illness or medical emergencies

  • Personal or financial reasons

Refunds in such situations follow the villa’s standard cancellation policy. Guests are encouraged to purchase comprehensive travel insurance.

6. Host-Initiated Cancellations

Should a host cancel a booking due to unforeseen circumstances such as property maintenance, double-booking, or emergency situations:

  • A full refund will be issued, including service and processing fees.

  • Cape Coast Villas will assist in locating and recommending alternative accommodation options (subject to availability).

  • Guests will be notified as soon as possible.

Cape Coast Villas does not guarantee that an equivalent replacement villa will be available.

7. No-Show Policy

If the guest does not check in on the scheduled arrival date and has not communicated with the host, the reservation will be marked as a no-show.

No-shows are strictly non-refundable.

8. Refund Processing Timeline

Once a cancellation has been approved and confirmed:

  • Refunds typically take 7–10 business days to appear in the guest’s bank account.

  • International refunds may take longer depending on your financial institution.

  • Service fees, platform fees, and transaction charges (if applicable) are non-refundable unless the host cancels the booking.

9. Payment Disputes & Chargebacks

If a guest files a chargeback with their bank without first contacting Cape Coast Villas:

  • The reservation may immediately be paused or cancelled.

  • Supporting evidence from the host will be submitted to the bank.

  • Resolution times depend on the financial institution.

We strongly encourage guests to contact our support team first to resolve payment concerns quickly and fairly.
